Before you start
Can two members of staff confirm the same space?
No. Raq.com checks the space, setup time, clear-down time and shared resources in one database transaction. If another person confirms an overlapping booking first, the second booking stops and asks the user to review the live calendar.
Can we hold the same date for more than one couple?
Yes. Provisional holds have a clear rank and expiry. Staff can see who has first option, who is waiting and what happens when a hold expires. A confirmed allocation still blocks the space.
Do couples, guests and suppliers need paid users?
No. The monthly plan includes restricted couple, guest and supplier access. Internal venue users are unlimited too.
How does Raq.com handle allergens?
Allergy, dietary and accessibility records use restricted permissions. A permitted venue team member reviews sensitive requirements before final numbers can be approved, and access to the service manifest is logged.
Can staff change an agreed proposal or run sheet?
They create a new version. The accepted commercial version, approved final numbers and published run sheet keep their content hash and approval history. Staff and suppliers can see which run-sheet version they acknowledged.
Does it work when venue Wi-Fi is poor?
The event-day workflow supports encrypted offline packages and queued changes. Sync conflicts remain visible for a person to resolve.
Can we bring across our current spreadsheets?
Yes. Imports run as a dry run first. You can map fields, review duplicates and row errors, then commit the import with a rollback manifest.
Does AI send messages or change bookings?
No material change happens without a person approving it. AI can prepare a draft, check a record and cite the source it used.
